About Recover Appalachia
Recover Appalachia is a nonprofit organization dedicated to empowering individuals in recovery and re-entry through entrepreneurial mindset education, personal development, and community partnerships.
We believe that a person's future should not be defined by their past.
Our work helps individuals develop the confidence, capabilities, and connections needed to overcome barriers, recognize opportunities, and pursue meaningful futures.
As our programs and partnerships grow, so does the need for strong internal systems that support accountability, effectiveness, and long-term sustainability.
This contract opportunity is an investment in that foundation.
About the Opportunity
The Organizational Systems & Compliance Support Contractor will work closely with Recover Appalachia's Executive Director and board bookkeeper to develop and formalize internal operating procedures, financial management workflows, grant compliance systems, and reporting processes.
The primary purpose of this engagement is to strengthen organizational infrastructure rather than deliver direct programming.
The selected contractor will help translate existing practices into documented, repeatable systems that support effective operations and responsible stewardship of public and private funding.
The goal is to establish practical, sustainable procedures that organizational leadership can maintain and improve long after the contract concludes.
Scope of Work
1. Operational Systems Development
Draft and organize a written organizational operations manual.
Document internal administrative procedures and workflows.
Develop standardized documentation templates.
Establish consistent reporting and recordkeeping protocols.
2. Grant Compliance Infrastructure
Establish a comprehensive grant compliance calendar.
Develop internal controls documentation.
Create reporting workflow checklists.
Align documentation practices with applicable federal grant requirements, including 2 CFR Part 200.
3. Financial Systems Alignment
Collaborate with the organization's accounting consultant and board bookkeeper.
Support integration of QuickBooks into organizational financial workflows.
Document financial procedures and grant tracking processes.
Help establish documentation practices consistent with federal grant management requirements.
4. Evaluation and Reporting Integration
Document organizational performance measurement processes.
Support integration of reporting workflows into internal procedures.
Develop standardized templates for internal monitoring and external reporting.
5. Institutional Documentation and Transition
Compile finalized systems documentation into an organized resource library.
Ensure procedures and templates are accessible and practical for long-term use.
Support knowledge transfer to the Executive Director and board leadership.
Expected Deliverables
By the conclusion of the engagement, the contractor will support completion of:
A written organizational operations manual.
A documented grant compliance calendar.
Standardized reporting templates.
Formalized financial tracking documentation aligned with QuickBooks.
Internal workflow documentation supporting evaluation and compliance processes.
Specific milestones, timelines, and acceptance criteria will be established in the final contract.
Preferred Qualifications
We encourage applications from professionals with experience in nonprofit administration, organizational development, grant management, or related fields.
Preferred qualifications include:
Experience in nonprofit operations or organizational development.
Familiarity with federal grant compliance requirements, particularly 2 CFR Part 200.
Experience developing standard operating procedures, administrative documentation, or internal controls.
Knowledge of nonprofit financial management practices.
Strong organizational, project coordination, and technical writing skills.
Ability to work independently and collaborate effectively with a small leadership team.
Experience with QuickBooks or similar nonprofit management systems is beneficial but not required.
We particularly welcome applicants who understand the needs of small, growing nonprofit organizations and can develop systems that are both effective and manageable.
Contract Structure and Compensation
This opportunity is structured as a temporary, part-time independent contractor engagement.
Maximum available contract compensation: $10,662.
The engagement will be organized around defined deliverables and project milestones rather than a fixed employee schedule.
The selected contractor will coordinate directly with the Executive Director through regular project check-ins, milestone reviews, and approval of completed materials.
Work may be performed remotely or through a hybrid arrangement, with occasional coordination involving organizational leadership in the Portsmouth, Ohio, area.
This is not an employee position and does not carry an expectation of continued employment or contracting beyond the project period.
Final payment arrangements and deliverable requirements will be established through a written independent contractor agreement.
